Closing Non-billing encounters within In Basket

Beginning May 11, non-billing encounters left open in My Open Encounter folder will automatically close after 90 days. This will increase responsiveness and reduce unnecessary items in My Open Encounter. All In Basket users will be impacted.

Users may prevent an Encounter from automatically closing after 90 days by selecting In Navigator, clicking Encounter Close Option, and selecting prevent encounter close. A check mark will appear when selected.

Please review Tip Sheet Setting Encounter Close Option in Non-Billing Encounters. Telehealth encounters and billing encounters such as Office Visit are not affected by this change Users should continue to use approved workflows for closing billing encounters.

New Sections Added to Express Lane Navigator

Beginning May 11, Problem List and Visit Diagnosis will be added to Express Lane Navigator. This change will improve efficiency and reduce tabs within a patient’s chart. Providers who use Express Lane workflows will be impacted.

The Problem List and Visit Diagnosis will be added to the left pane of Express Lane Navigator. All items will be displayed in a single place.

Changes to In Basket “Reply” and “Forward” Functionality

Beginning May 11, “Reply” and “Forward” buttons will be disabled from the My Health at Vanderbilt (MHAV) Message folder and RX Request folder. As an alternative, users should open the encounter to document or use Quick Note. This change will impact all In Basket users and prevent transient documentation.

When using the “Reply” and “Forward” buttons, internal In Basket messages from the MHAV Message folder and RX Request folder are not permanently saved to the chart. Messages are only visible for 60 days. This does not impact replying to a patient. Users may continue using “Reply to Patient” for sending MHAV replies.
