Third meeting of MyWorkday Change Network focuses on key finance items

On April 28, 2022, the third meeting of the MyWorkday Change Network took place. MyWorkday is VUMC’s enterprise-wide project to replace existing business systems and processes. More than 1,100 people attended the virtual meeting to hear about the impact of MyWorkday on VUMC’s Finance operations.

Those attending the meeting hold important roles, some designated as department readiness leads and others as change agents. The goal of this meeting (as with all Change Network meetings for the program) is to educate the attendees about MyWorkday so they can pass information and support to their work areas.

The MyWorkday project at VUMC involves the implementation of two new cloud-based systems, Workday and Tecsys. Taken together, this extensive transition of dozens of outdated VUMC systems allows VUMC to modernize and simplify its business tools. Large departments such as Finance, Supply Chain, Human Resources, and Research and Grants have software systems that need updating.

Since the April meeting focused on changes which impact our financial transactions and reporting, attendees heard from Vice President of Finance Donna Kilpatrick, Associate Director of Finance Audrey Seaborn, and Director of Business Education Diana Ormsby.

Their presentation highlighted some of the key changes that users will see in Workday, including:

  • How the new system will use cost centers
  • The way data is stored in the new system (using the Foundational Data Model)
  • The use of easily identified data elements, known as “worktags,” that make it easier to process transactions and support very detailed reporting

While the MyWorkday project will touch in some way every employee of the Medical Center, a key point emphasized again was that information and training would be available to make sure that employees are knowledgeable and prepared for the changes. Employees can expect to see the new system later this fall.

In addition to the Change Network, information will be communicated in the form of the MyWorkday website, emails, town halls, training sessions and super users in each department to help with the transition. Videos featuring the MyWorkday “spokescloud,” MW, will be released every two weeks to highlight aspects of the project. These videos will be shared in MyVUMC and are available for viewing here.

The next Change Network meeting is set for May 24.
