Vanderbilt University Medical Center requires all departments to annually review and revise their emergency operations subplans. For fiscal year 2023-2024 there are changes that each unit needs to address including using the updated subplan template.
Subplans outline specific guidelines for clinical and non-clinical units to respond to emergency situations by:
- Providing staff and hospital leadership with information regarding the department’s scope of services and staffing requirements.
- Providing employees with information about safety procedures in the instance of an adverse event or emergency.
- Compiling all pertinent paperwork and evacuation maps in one central location.
- Maintaining updated department contacts and call tree.
The subplan requires unit leadership to complete or update data using the updated subplan template and safety data sheets. Offsite locations also need to include an Offsite Quick Reference Guide specific to their location. Links to all the templates are included on the Emergency Preparedness website under Manager Tool Kits: https://www.vumc.org/emergency/vumc-tools-resources
All plans must be submitted electronically through Verge Solutions. Access to Verge can be found on VUMC’s website home page by selecting Employee Resources from the top menu and typing Verge in the search bar.
Questions regarding department subplans, electronic submission, requests for subplan training, or whether your unit needs to complete an offsite quick reference guide document, can be directed to Alex Mindel at Alexandra.l.mindel@vumc.org or Cheresse Kincaid at cheresse.a.kincaid@vumc.org.
