Starting in January 2026, REDCap will be the home for emergency subplan documents for each of Vanderbilt Health’s departments, units and clinics. Those who oversee emergency subplans will now be required to enter information into REDCap on a yearly basis. REDCap replaces Verge, the system previously used to house these documents.
VUMC requires that all areas, whether clinical or nonclinical, maintain a completed emergency subplan. Emergency Operations will transition subplan entries from Verge to REDCap, along with an updated subplan template to create a streamlined repository and standardized annual review of each plan. A physical paper copy of each area’s subplan will still need to be printed and kept on-site.
Users can now access the updated subplan template and REDCap survey link via the Emergency Operations SharePoint page. Instructions for accessing the template:
- Select “Tools and Resources.”
- Select “Planning Tools.”
- Select the appropriate subplan REDCap survey link for your area. If you are not located on Main Campus or One Hundred Oaks, you will also be asked to complete a quick reference guide template based on location. This template is also included in the REDCap survey specific to your location. A copy of the template can also be found on the Emergency Operations page.
- Open the REDCap survey link for your area. There will be an option to complete the subplan online via the survey, which can be saved and returned to later, or offline. After completion of the subplan, Emergency Operations will review the information and provide feedback to the submitter.
All subplans are due by July 1, 2026, via REDCap. Annual subplan REDCap links will be sent out in January each year with a reminder for completion.
