N95 respirator fit testing — knowing how and when to schedule

VUMC’s Office of Clinical and Research Safety (OCRS) conducts N95 respirator fit testing year-round, either via daily appointments, or mass walk-in events on-site and off. These are listed on the OCRS website or when you access the Acuity scheduling application.

For the fit testing efforts to run smoothly during the busy Paid Peer Review season, OCRS wants to ensure you are scheduling or attending the correct event and are fully prepared for it. Please read below for more details.

When to schedule your N95 respirator fit test
If you are going to become overdue or are already overdue for your N95 respirator fit test between now to the end of June, please plan on scheduling an appointment or attending an annual refit walk-in fit testing fair. If you are going to become due after July 1 and beyond, please schedule or plan to attend an event during your specific due month. You can check your N95 fit testing sticker on your VUMC ID badge or your Health and Wellness Information Portal to determine your due date.

Please note that if you have never been N95 respirator fit tested with VUMC before, you will need to schedule an Initial N95 respirator fit testing appointment at the OCRS office. You would not be able to attend one of the walk-in events or appointments for annual refits.

Be prepared for your appointment or walk-in event
When you successfully schedule an appointment at the OCRS office in Medical Center North (MCN) using the Acuity scheduling application, you will receive a confirmation email that provides everything you need to know to locate our building, where to enter and how to walk down to the office by using the N95 Fit Testing signs with green arrows.

Please note that OCRS is fit testing groups of scheduled staff in blocked appointment times back-to-back, and are unable to accommodate tardiness of over five minutes for a given session time. For the walk-in Annual Refit N95 Fit Testing Fairs, no appointment in necessary to attend. OCRS will fit test staff members as they arrive between the given times of the event. Fit testing can take 15 to 20 minutes to complete, but could take longer due to the nature of a walk-in event.

Please ensure that you meet the tight-fitting respirator facial hair standards to be fit tested. Those who have facial hair anywhere the N95 respirator seals on the face cannot be fit tested or safely wear one. For further information regarding fit testing and facial hair, please refer to the OCRS website, and the video link listed below. Shaving the same day as a fit test is highly recommended.

The walk-in Annual Refit N95 Fit Testing Fair schedule for the rest of 2025 can be seen below. If a walk-in event doesn’t work for you, please check the Acuity scheduling application to see available appointment times. More times are added further into the year.
