A new approach to policies: PowerPolicy will soon replace PolicyTech as VUMC’s policy management system

In late October, VUMC will transition from PolicyTech to PowerPolicy, powered by PowerDMS, as the new policy management system.  This is an important change to be aware of, and to be prepared for, as all employees rely on organizational policies to ensure their actions support the values of the organization.

Why is it important to stay connected to policies and procedures? Policies and procedures provide the framework for clinical practice rules and procedures, safe patient care, ethical behavior, compliance, research, organizational culture, business strategies, efficient operations, and mitigating risk to the organization. In essence, policies document what is needed for the organization to effectively persevere.

Now that we all know the importance of staying connected to policies, we want you to know that policies will remain available in PolicyTech. The work to maintain current policies will continue per normal operations while we work to transition to PowerPolicy.

In fact, once the transition to PowerPolicy is complete, you will experience an improvement in the timely accessibility of all policies. Finding policies will be significantly improved through the enhancements in policy search and navigation of the new PowerPolicy system.

Employees who have additional roles to review, edit, approve, or manage policies and procedures will experience transparent workflows and the ability to efficiently collaborate within the system. This is a significant improvement that will streamline the complex work around policy management. As a result, all employees will get the most accurate and timely policy updates which reduces risk across the organization.

The Change from PolicyTech to PowerPolicy will: 

  • Reduce costs due to integrated workflows.
  • Increase process efficiency due to workflows.
  • Provide an improved user interface and search.​
  • Mitigate risk and enforce regulatory standards.

What to expect: 

The following are indications of what to expect and steps you can take to ensure you are best prepared before, during, and after this transition.

  1. Be reassured that links to other policies within PolicyTech documents will be adjusted accordingly during the transition to PowerPolicy.
  2. Identify links and references to PolicyTech on VUMC webpages, within training material, and within other material, prior to the transition to PowerPolicy.
  3. Update links and references from PolicyTech to PowerPolicy on VUMC webpages, within training material, and within other material after the go-live date.   
  4. Look for training to be provided.
  5. Visit the PowerPolicy web page for additional details.
